Annual Review Auto-Booking
The annual review is the most-skipped highest-leverage touchpoint in an insurance book. Every agency principal knows their producers should be doing them. Almost nobody does. The snapshot fixes that with a workflow that requires zero producer initiation.
How it works
45 days before each household’s policy anniversary, the workflow:
- Auto-books a 30-minute slot on the producer’s calendar
- Sends the policyholder a confirmation SMS + email
- Generates a pre-call brief for the producer:
- Current coverage and limits
- Suggested updates (replacement cost refresh, liability bump, valuables review)
- Discount eligibility re-check
- Lifecycle events since last review (new car, new dependent, business, asset)
- Cross-sell pipeline (auto-only → home? auto+home → life? HNW → umbrella?)
- Sends a calendar reminder 24 hours before and a “see you in an hour” reminder 1 hour before
The pre-call brief is the magic
Most annual reviews are wasted because the producer walks in cold. The brief turns a 30-minute “how are you?” conversation into a 30-minute high-leverage policy review with three specific recommendations on the table.
Reschedule + no-show handling
If the policyholder reschedules, the workflow re-books and re-fires the brief generation. If the policyholder no-shows, a recovery sequence fires the same day with three calendar links — the highest-converting recovery option in the snapshot.
Producer-level customization
Each producer can set their own annual-review preferences:
- Slot duration (20 / 30 / 45 / 60 min)
- Slot availability window
- Bilingual flag
- Pre-call brief format (short / standard / detailed)
- Reminder cadence
