How To Launch The Insurance Snapshot In Your GHL Account
This guide walks through exactly what happens between the moment you complete checkout and the moment your agency is running on the full automation stack. The total elapsed time is 24 hours for install plus 15 days for the 10 dedicated configuration hours.
Hour 0: Checkout
You complete checkout at /checkout. The payment is one-time $997 (was $1,697).
Within 2 minutes you receive:
- Order confirmation email with receipt
- Onboarding form link
- Calendar invite to a 30-minute kickoff call (we’ll book a slot inside the next 24 hours)
Hour 0–4: Onboarding Form
The onboarding form captures everything we need to install:
Agency info:
- Agency legal entity name + EIN
- Physical address + license jurisdictions
- Phone, email, website
- Brand assets (logo, brand colors, voice preference)
GHL access:
- GHL agency account credentials (or sub-account invite for resellers)
- Confirmation that you’re on a GHL plan that supports snapshots (Pro or above)
Carrier + line info:
- Carrier appointments (which carriers, which lines)
- Line mix (auto, home, life, health, Medicare, commercial, umbrella — pick all that apply)
- AMS system in use (Vertafore, Applied, EZLynx, other)
Producer team:
- Number of producers
- Producer specializations
- Bilingual flags
- License numbers + NPNs (for SOA + state-DOI footer)
Compliance posture:
- State DOI disclosure requirements
- CMS appointment status (Medicare carriers)
- E&O carrier on file (FYI; not used in the install)
You can complete the form in 20–40 minutes if you have the materials handy. If you don’t, that’s OK — we can fill gaps during the kickoff call.
Hour 4–8: Kickoff Call
A 30-minute call with our install team. We walk through the onboarding form, ask clarifying questions, surface any unusual configurations (multi-state shops, niche commercial lines, captive vs independent), and confirm the install timeline.
By the end of the call, both sides are aligned on what’s getting installed, how it’ll be tuned during the 10 dedicated hours, and what the producer-training rollout will look like.
Hour 8–24: Install
Our team installs the snapshot into your GHL agency account:
- Snapshot import — all 12 workflows, 13 pipelines, custom fields, tags, message templates, calendars, and forms
- Custom field validation — every cross-reference verified
- Workflow firing test — fire each workflow with a test contact, confirm correct trigger / route / suppression / delivery
- AI persona installation — VAPI / Retell connection, voice persona, line-of-business triage logic
- Email template branding — your logo, your colors, your producer signatures
- SMS template branding — your agency name, your compliance footer
- A2P 10DLC submission — filed with carriers using your agency entity
- AMS integration — Zapier or native API connections, with bind / cancel / endorsement triggers wired
By the 24-hour mark, the snapshot is installed and production-tested. We do not “deliver and disappear” — we install, configure, and verify before handoff.
Day 2: Snapshot Live in Your Account
You log into your GHL account and the snapshot is visible:
- All 12 workflows present in Automation
- All 13 pipelines present in Opportunities
- All forms present in Sites
- Email templates present in Marketing
- Calendar handoff to producer calendars verified
A2P 10DLC is in carrier review (typical 5–10 business days). SMS workflows will not fire until A2P clears — they’re set to “pending registration” during this window.
Day 2–15: The 10 Dedicated Hours
The 10 dedicated configuration hours are where we tune the snapshot from a working install to your specific agency reality. Typical breakdown:
- 2 hours — line-of-business specific tuning (Medicare AEP if applicable, life underwriting drip cadence, commercial pipelines)
- 2 hours — producer-team configuration (round-robin, calendars, signatures, leaderboard)
- 1 hour — state-DOI footer + compliance disclosure customization
- 1 hour — AI receptionist voice persona refinement (after listening to the first few real calls)
- 2 hours — any custom workflows specific to your agency (carrier-specific renewal templates, niche cross-sell triggers, etc.)
- 1 hour — producer training session (live Loom walkthrough)
- 1 hour — agency-principal dashboard walkthrough (reporting, leaderboard, KPIs)
The hours are flexible. Use them all in the first 3 days if you want, or spread them across the full 15 days. Most agencies use 6–7 hours in week 1 and save 3–4 for week 2 once the system is running and they have specific tuning requests.
Day 5–10: A2P 10DLC Clears
Carriers typically approve A2P 10DLC registration within 5–10 business days. Once approved, SMS workflows begin firing. The renewal cadence, cross-sell triggers, and payment-recovery dunning all go live at this point.
Day 15: Configuration Period Ends
The 10 dedicated hours are used up. The system is fully tuned to your agency. You have two options for ongoing support:
- Self-serve — you have full ownership of the GHL account and can modify anything yourself
- Hire our GHL VA — for $700–$1,500/month, our trained GHL specialists handle ongoing CRM management, workflow adjustments, A2P updates, and AI persona refinements

Day 30: First Compounding Effects Visible
By 30 days, the first cohort of renewals has fired the 120-day cadence. The first cross-sell triggers have landed. The first reviews have been collected. Producer leaderboards have the first month of data. The agency-principal dashboard is showing real numbers.
Day 90: Full Compound Effect
By 90 days, the full renewal-cadence compound effect kicks in (the policies that entered the cadence at day 0 are now hitting their renewal). Retention numbers begin lifting. Cross-sell conversion rates stabilize. The system is producing its predictable monthly economic lift.
What to do during the install
Honestly: not much. We handle the build. Your team’s main job during the install is:
- Stay reachable for the kickoff call and any clarifying questions
- Complete the onboarding form within 24 hours
- Show up to the producer training session
- Use the 10 dedicated hours for any custom requests
The agency principal usually invests 4–6 hours of their own time across the first 15 days. The producers invest 2–3 hours each for training. After that, the system runs.
